Information Collected

We collect the details needed to answer and fulfill requests.

This may include your name, email address, phone number, delivery address, town, rental dates, selected gear, access notes, communications, policy acceptances, payment status, and technical website activity such as pages viewed and actions taken. If you choose to leave a voicemail, this also includes call details, the audio message, its automated transcript, and rental details drawn from the message. Payment-card details are handled by the payment provider and are not entered on this website.

How We Use Information

We use it to operate Hamptons Beach Co.

We use information to answer inquiries, prepare rental estimates, confirm payment, coordinate delivery and pickup, provide support, prevent fraud or abuse, maintain business records, improve the website, and comply with legal obligations. We may use an automated service to organize a rental inquiry and prepare a response for a team member to review. That service does not confirm availability, create a booking, take payment, or send a customer reply by itself.

Calls and Voicemail

Voicemail is optional.

If you choose to leave a voicemail after the consent prompt, Twilio records and automatically transcribes your message. We use the recording and transcript to create and review your inquiry in our secure Admin workspace and follow up with you. You may instead text the same number or use the website request form without leaving a recorded message.

Please do not leave payment-card numbers, government identifiers, property access codes, or other sensitive information. We remove our copy of the full transcript after review and no later than 30 days after receipt, and request permanent deletion of the Twilio-hosted recording on the same schedule. Transcription uses webhook-only delivery, and our scheduled database backups exclude the raw voicemail transcript, so longer recovery retention does not extend that raw-content window. Twilio does not make the transcript text retrievable after delivery; Twilio may retain limited service metadata under its own policies. Automated processing does not confirm availability, set a price, create a booking, take payment, or send a customer reply by itself.

Mobile Information

Mobile numbers and SMS consent stay out of marketing lists.

We do not sell personal information. Mobile numbers and text-message opt-in data and consent are not shared with third parties or affiliates for marketing or promotional purposes. We use mobile information only to provide the rental-related communications the customer requested, maintain consent and opt-out records, and operate the messaging service.

Service Providers

Limited providers help us run the service.

We may provide information to vendors that host the website, deliver email or text messages, provide calling and voicemail transcription through Twilio, process payments, maintain business records, provide analytics, or support delivery operations, including checking a delivery address when a team member uses address suggestions or verification and preparing support drafts for team review. They receive only the information needed for their service and are not permitted to use SMS opt-in data for their own marketing.

When our team uses Google Maps address suggestions or validation, the delivery address and selected service town are sent to Google Maps Platform. Google's handling of that information is described in the Google Privacy Policy, and use of Google Maps features and content is subject to the Google Maps/Google Earth Additional Terms.

Website Analytics

We measure site use to improve the booking experience.

The website may use analytics technologies to understand page visits, device type, referral information, and actions such as browsing gear, opening the cart, or clicking a contact option. These tools may set cookies or use similar identifiers.
